The short answer

  • Choose Microsoft 365 if your business lives in Excel/Word, needs desktop Office, or runs Windows infrastructure (AD, Intune). Most manufacturing, finance and traditional businesses land here.
  • Choose Google Workspace if your team collaborates in the browser, shares documents constantly and values simplicity. Startups, agencies and education lean Google.
  • Choose Zoho Workplace if value is the priority — excellent email at a fraction of the cost, with a natural upgrade path into Zoho CRM, Books and People. Brilliant for SMBs consolidating tools.

What each really costs

Indicative per-user monthly pricing in India: Zoho Mail Lite starts under ₹60; Google Workspace Business Starter and Microsoft 365 Business Basic sit in the ₹125–₹160 band; full-featured plans (M365 Business Standard/Premium, Workspace Business Standard/Plus) range ₹700–₹1,900. Multiply by headcount and a 3-year horizon before deciding — and ask a partner about promotional pricing; it's often better than the public rate card.

What the rate card doesn't tell you

  • Security defaults differ. Whichever you pick, MFA enforcement, anti-phishing policies and admin hardening are on you — most breaches we respond to involve tenants left on defaults.
  • None of them back up your data beyond limited retention. Ransomware or a malicious deletion needs third-party backup (Veeam/Barracuda class).
  • Migration is the scary part — and shouldn't be. Staged sync means historical mail copies in the background and cutover happens on a planned evening. Done properly, users notice nothing on Monday morning.

Mixing platforms is valid
