Build an Adobe licence mix around real work
An employee editing contracts does not have the same software requirement as a video editor. List the applications and document tasks used by each role, then compare the exact business plan and administration features. Avoid buying a full creative suite for every person simply because a few designers need it.

A practical example for a mixed team
Suppose a business has three designers, two video editors and twelve staff who mainly review PDFs. This is a hypothetical worksheet, not a customer case study. Record the actual apps used by the creative roles, check whether any need only a single app, and test the PDF tasks separately. Staff who only view a document may not need the same paid editing tools as staff who prepare it. Ask for itemised alternatives instead of one blanket licence count.
Check new purchases and renewals differently
- For a new purchase, confirm who owns the business account, who administers licences and which employees receive access.
- For renewal, compare the current plan name with the proposed SKU, seat count, commitment, renewal date and price after any offer ends.
- Check whether generative AI features, credits, Stock, signature services or other add-ons are included, limited or separately billed.
- Confirm the purchase programme and channel terms. A monthly payment amount does not by itself establish monthly cancellation rights.
Plan for joiners, role changes and leavers
Assign access to named users under the applicable terms. When someone leaves, review their business assets, cloud content and required handover before removing access. Administrative reassignment is not permission to share a login. Ask which asset-reclamation and transfer options are available for the specific plan, identity type and content; not every file or service follows the same process.
What to send for an Adobe proposal
List applications by role, seat counts, current plan, new purchase or renewal, renewal date and any identity or deployment requirements. Include examples of required PDF tasks, not confidential documents. Ask for software, setup, support and taxes on separate lines.

More questions to ask before ordering
Is Creative Cloud Pro for teams the same as a Single App plan?
No. Compare the exact set of applications and entitlements. A Single App option may fit a specialist role; a broader suite may fit someone using several creative tools.
Do all employees who read PDFs need Acrobat Pro?
No. Establish whether they only view documents or also edit, redact, compare, convert or manage signatures. Choose the tool after checking those tasks.
Are Firefly, Stock and all AI features automatically included?
Do not assume so. Check the specific plan, credit allowances, service limits and any required add-ons in the current offer.
Can we share one Adobe account across several employees?
Do not use shared credentials as a licensing workaround. Assign users and devices according to the applicable Adobe plan terms.
